Missing receipts in bookkeeping: what to do

Missing receipts are rarely just a document problem. The real blocker is often the missing context behind the transaction: what was purchased, who it was for and why it relates to the business.

Separate evidence from explanation

A receipt can prove what was purchased and the amount paid, but it may not explain the business purpose. When the transaction is unclear, ask for both the evidence and the context needed to code it confidently.

  • Transaction date and amount
  • Merchant or supplier
  • Who the purchase was for
  • What was purchased
  • Why it was business-related

Ask one clear question at a time

Long bookkeeping emails create friction. A short, transaction-specific question is easier for a client to recognise and answer. Plain language is usually more effective than accounting terminology.

If the receipt is missing, ask the client to upload it at the same time as they explain the transaction so the answer and evidence stay together.

Do not let one missing receipt stall the whole reconciliation

Keep unresolved items in a dedicated review queue. That makes it possible to continue reconciling clear transactions while outstanding questions remain visible and traceable.
