How to stop chasing bookkeeping clients for answers
Repeated client follow-up is one of the least productive parts of reconciliation. The goal is not to ask more often. It is to make each question easier to understand, easier to answer and easier to track.
Make the request specific
A message such as ‘please explain these transactions’ creates work for the client before they can even respond. A better request names the merchant, amount and date, then asks for the single missing piece of context.
- ✓Show the merchant
- ✓Show the amount
- ✓Show the transaction date
- ✓Ask one plain-English question
- ✓Give the client one place to reply
Use a predictable reminder process
When reminders are handled manually, follow-up becomes inconsistent and easy to forget. A simple escalation schedule helps the practice stay organised without turning every unresolved transaction into a separate admin task.
The reminder should point back to the same secure question rather than creating a fresh email thread each time.
Keep answers tied to the transaction
Replies spread across email, SMS and handwritten notes make reconciliation slower. The useful outcome is a complete record: question, client answer, receipt or voice note, and the bookkeeper's final decision together.
Where HelpMyBooks fits
Turn unanswered transaction questions into a trackable workflow.
HelpMyBooks turns unclear bank transactions into plain-English Who / What / Why questions, sends a secure client link, collects the answer and receipt, and returns the context to the bookkeeper for review.
