The Who / What / Why method for unclear transactions

When a bank line is ambiguous, the fastest path to clarity is often a simple question. Who / What / Why breaks the missing context into language a client can answer without understanding bookkeeping terminology.

Who was it for?

This identifies the person, client, project or part of the business connected to the transaction. It can quickly distinguish a business purchase from something personal or unrelated.

What was purchased or paid for?

Merchant names are not always enough. Asking what was actually purchased gives the bookkeeper usable context and can reveal whether supporting evidence should also be collected.

Why was it business-related?

The reason behind the expense can matter just as much as the supplier. A plain-English explanation helps the bookkeeper understand the transaction before deciding how it should be treated.

Use only the question you need

Not every transaction needs all three questions. If the merchant and purchase are obvious but the business purpose is not, ask only why. Keeping the request short reduces friction and makes the client more likely to answer promptly.
